Aston Resources understands that privacy is important and individuals have a right to control their personal information. We know that providing personal information is an act of trust and we take that seriously. Aston Resources is committed to protecting the privacy of individuals whose personal information we deal with.
Purpose of this policy?
Aston Resources aims to ensure that the Personal Information collected and held by it is handled appropriately and lawfully. This policy describes:

- the rights and obligations of employees, contractors and consultants in relation to Personal Information
Who does this policy apply to?
This policy applies to all persons employed or engaged by Aston Resources who collect Personal Information on our behalf in the course of their work for us. This includes all employees, contractors and consultants.
This policy also applies to information Aston Resources collects from contracting companies and contracting employees.
All employees, contractors and consultants are required to read and comply with this policy and read the Aston Resources online privacy statement.
Definitions
‘Personal Information’ means information or an opinion (whether true or not) which identifies a person or from which a person’s identity can be reasonably ascertained and includes Sensitive Information. Names, addresses and home telephone numbers are examples of Personal Information.
‘Sensitive Information’ includes information or an opinion about a person’s racial or ethnic origin, political opinions, philosophical or religious beliefs or affiliations, membership of a political, trade or professional association or trade union, sexual preferences or practices, criminal record or Health Information.
‘Health Information’ means information or an opinion about a person’s physical, mental or psychological health, disability, health services and donation of body parts, including genetic information.
Privacy regulation
Aston Resources is required to comply with obligations under the National Privacy Principles set out in the Privacy Act 1988 (Cth) and with any other applicable laws to protect privacy.

- gives access to Personal Information
Collection of Personal Information
Personal Information will only be collected as is necessary for Aston Resources’ business functions and activities or to comply with legal or regulatory obligations.
The collection of Personal Information will be by lawful means and not in an unreasonably intrusive way.
When Aston Resources collects any Personal Information about a person, Aston Resources will take reasonable steps to provide the relevant person with information about:
- why Aston Resources is collecting the Personal Information
- the intended recipients of the information, including the types of organisations (if any) to which Aston Resources might disclose the Personal Information
- the fact that the person may gain access to the information
- any law that requires the particular information to be collected; the main consequences for failing to provide that information
- how to contact Aston Resources
Where appropriate, Aston Resources will collect Personal Information from the person concerned. However, there may be situations in which Personal Information about a person may be collected from someone else. In either case, Aston Resources will take reasonable steps to notify the person of the matters listed above.
In pre-employment or engagement stages, Aston Resources may conduct relevant background checks or arrange for someone else to conduct relevant background checks on its behalf. These may include education, competency standards, trade or other qualifications, employment, criminal records, references and relevant publicly available records.
In certain circumstances, Aston Resources may collect Sensitive Information or Health Information. Aston Resources will only collect this information with the relevant person’s consent or otherwise in accordance with the law and Aston Resources’ policies.
Use and disclosure of Personal Information
Aston Resources will generally use and disclose Personal Information for purposes related to the main purpose for which the information was collected, or where written consent has been given to the use or disclosure.
Aston Resources may otherwise use or disclose Personal Information where required or authorised by law, which may include emergency situations and assisting law enforcement agencies.
Security of Personal Information
Irrespective of whether Personal Information is stored electronically or in hard copy form, Aston Resources will take reasonable steps to protect Personal Information it retains from misuse and loss and from unauthorised access, modification or disclosure.
Quality and accuracy of Personal Information
Aston Resources will take reasonable steps to ensure that any Personal Information it uses or discloses is complete, accurate and up-to-date.

Employees, contractors and consultants generally have a right to request access to any Personal Information which Aston Resources holds about them, subject to a number of exceptions under applicable legislation.

Employees, contractors and consultants of Aston Resources must not sell or provide information held about clients of Aston Resources to anyone outside of Aston Resources.
This information should only be accessed and disclosed to other employees, contractors and consultants of Aston Resources as necessary in the proper performance of their duties.

Obligations of all employees, contractors and consultants
Every person covered by this policy who collects, accesses, uses or otherwise deals with Personal Information has a duty to maintain the privacy of that information and deal with the Personal Information in accordance with this policy.
Consequences of breaching this policy
All employees, contractors and consultants are required to comply with this policy. If a breach of this policy is If a breach of this policy is substantiated, Aston Resources may take disciplinary action. This may include:
- a formal warning
- suspension, transfer, demotion
- termination of employment or engagement.
Non-intentional or ‘one-off’ breaches may result in the full range of disciplinary action.
Aston Resources may also be required by law to disclose details of conduct to authorities such as the police.
Complaints
If an employee, contractor or consultant suspects that there has been a breach of this policy, the suspected breach should be immediately reported to the appropriate manager or supervisor. Complaints will be treated impartially and confidentially and will be addressed promptly.
The vision of this policy is to provide an environment in which the privacy of personal information is protected and to ensure that Aston Resources complies with its obligations under the Privacy Act 1988 (Cth) and associated regulations.
